Mortimer West End Parish Council meets in public at the Village Hall, Church Road. Mortimer West End.
The meetings are held on an evening - Tuesday or Thursday - approximately six weeks apart, depending on Public Holidays and the Notice and Agenda are always displayed on the village notice boards at least three days in advance of the meeting.
Parish Council meetings begin at 7.30pm. Borough and County councillors are invited to the meeting and members of the public are invited to express their views on any item the Council are discussing during any part of the meeting.
The Parish Council comprises four Councillors and a part-time Parish Clerk who advises and administers the affairs of the Council. The present members of the Council hold the post for four years, or until the next election in 2011, when they may stand for re-election.
The Parish Council are trustees for the Gravel Allotment Trust (Recreation Ground). A meeting of the trustees is held prior to the Council meeting from 7.00pm to 7.30pm. Members of the public are not invited to this forum but if they wish to raise matters concerning the Recreation Ground they may do so during the Council meeting.
Minutes of the meetings of the Parish Council and the Trustees are ratified at their next meetings.
The Annual General meeting of the Council takes place in May, at which:
- The Chairman and Vice Chairman are elected by their fellow Councillors
- The signing of Declarations of Office by Councillors takes place
- Parish Council Representatives are appointed to outside bodies
- The Bank Mandate is authorised
- The Chairman’s Allowance is authorised
- Standing Orders and Financial Regulations for the Council are adopted
The Annual Parish Meeting is held in March where the Council Chairman, representatives of local village organisations, Borough and County Councillors report on what has happened during the last year.
